Overview

Materials is your project's digital asset vault — a secure, organized home for every file, document, and piece of media related to your project. All the revisions, all the decks, all the drafts, all in one place. You control exactly who can see what, and you can update, archive, and share materials without ever leaving Studio.

All new uploads are private by default — nothing is shared until you say so.

Uploading a Material

  1. Open your project in Studio.

  2. Go to Documents → Materials.

  3. Click Upload or Add Material.

  4. Fill in the required fields:

    • Title — name your material clearly

    • Description — a brief note on what this file is and its current status

    • Category — choose from: Script, Lookbook, Finance Plan, Casting Plan, Hashtman, Storyboard, Locations, Current Status, One Sheet, Director Samples, Partner One Sheet, Coverage, Pitch Materials, Financial Documents, Story Materials, Team & Talent Materials, Samples & Media, Production & Design, or Marketing Materials

    • Upload method — choose from:

      • Direct file upload

      • Video URL

      • Google Drive

  5. Upload your file. Maximum file size: 10MB per file.

  6. Your material is saved as private. Update visibility when you're ready to share.


Managing Visibility

Each material has its own visibility setting, independent of the others:

  • Private (default) — only visible to you

  • Permissions — accessible to specific people you invite, whether they're Callo members or not

  • Public — visible to anyone who can view your project page with your share link.

Update visibility per material at any time from the Materials tab.


Archiving Materials

When you have a newer version of a file — an updated pitch deck, a revised script — you can archive the old one rather than deleting it.

  1. Find the material you want to archive.

  2. Click the options menu and select Archive.

  3. The file is removed from active view but preserved in your vault.

Tip: Archive old versions rather than deleting them. Production history matters — having a record of earlier drafts can be useful for context, audit trails, and co-production conversations.


Previewing Materials

You can preview materials with your team directly inside Callo without needing to download files. Click on any material to open the preview view.
